Salary: $52,000 – $59,000
The incumbent in this position is responsible for volunteer management to support RMHC of WNY House programs. The Programs Manager works collaboratively with the Operations & Guest Services Manager to ensure guest safety and satisfaction. The Programs Manager also works collaboratively with the Hospital Programs Manager to ensure the Ronald McDonald Family Room and Ronald McDonald Hospitality Carts are stocked.
Primary Functions
Volunteer Recruitment and Management
- Recruit and schedule volunteers for daily House operations assignments as well as Days of Caring with larger businesses, organizations, and community groups.
- Schedule and operate meal preparation programs including Meal Makers and the Comfort Club.
- Programs Manager ensures the Meal Makers (our meal prep program) kitchen is always clean, stocked, and ready for volunteer groups.
- Ensure all volunteers are sufficiently trained in the specifics of their position to represent RMHC of WNY accurately and professionally.
- Monitor volunteer performance; keep appropriate records of volunteer hours.
- Plan with the Hospital Programs Manager and Operations & Guest Services Manager yearly volunteer appreciation celebration.
Hospital Programs Fulfillment
- Communicate daily with the Ronald McDonald House Family Room (RMFR) through the Hospital Programs Manager and volunteers to assess program needs.
- Arrange for the shopping and delivery to the RMFR at John R. Oishei Children’s Hospital and Hospital Program at Sisters of Charity Hospital.
- Maintain Excel spreadsheet in OneDrive to anticipate needs and reveal trends.
Communications and Relationships
- Conduct tours of the House for potential volunteers, work crews, and other community groups.
- Confirm that donation forms are completed for all donations and probably channeled for acknowledgments.
- Develop and maintain community relationships to secure donations for guest support, including but not limited to food, personal care products, cleaning products, and other supplies necessary to operate the House and make guests’ stay comfortable.
- Communicate with staff to suggest new volunteer opportunities.
Miscellaneous
- Hours for the position are 10 a.m. – 6 p.m.
- Programs Manager shares on-call for overnight, weekends, including holidays, with the Operations & Guest Service Manager to handle emergency situations and other guest or facility issues.
- Perform other duties as assigned or necessary to complete job responsibilities. This could include participating in internal events and external events outside of normal business hours.
- May need to supervise occasional weekend volunteering.
Education, Experience, and other Requirements
- Bachelor’s degree with 5 years minimum experience in guest services management, hospitality, program planning, or other related fields.
- Operations and/or facilities management experience.
- Food Service Experience (preferred).

- Knowledge of building and landscape maintenance sufficient to direct external help.
- Strong communication and interpersonal skills.
- Good judgment and problem-solving skills.
- Demonstrated people management skills, including the ability to manage volunteers and contractors.
- Ability to manage a variety of tasks and responsibilities simultaneously.
- Computer literacy including proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
Job-related Physical Abilities needed to perform the job in a satisfactory manner [
Ability to navigate throughout the facility and grounds. Ability to communicate verbally. Regularly required to lift, carry, walk, sit, and stand. May lift up to 25 lbs unaided.
