Volunteer Program Manager ($60,000 – $70,000)

FLSA Status: Exempt

Reports To: Executive Director

Position Summary:

The Volunteer Program Manager is responsible for the oversight and management of all aspects of the Volunteer Department including the prospecting, cultivation, stewardship and retention of volunteers as well as accurately tracking and utilization of volunteers across the organization.

 This person will exemplify the motto, “Volunteers are the Heart of the House” and will be tasked with ensuring RMHC of WNY’s volunteer program is diverse, inclusive and welcoming, and that volunteers find their experiences satisfying and meaningful. In addition, the Volunteer Manager will not only steward current volunteers but will also find ways to solicit support from and engage with new individuals and groups as a core member of the Community Engagement’s development efforts.

Essential Functions:            

Volunteer and Admin

  • Collaborates with staff to execute group volunteer opportunities including home, office and school activities as well as onsite opportunities including project work, meal and other foodservice initiatives, gardening, maintenance and cleaning.
  • Oversees the recruitment, screening, placement and onboarding processes for volunteers and interns.
  • Manages cultivation and stewardship of new and current volunteers and assist with the placement to appropriate departments and/or locations.
  • Oversees the accurate tracking of volunteer information across the organization, assisting with and/or managing the training of new staff members as needed.
  • Works collaboratively with the Development Team to provide appropriate volunteer support at major fundraising events and community-based fundraisers.
  • Participates in efforts to continuously review and evaluate current volunteer needs, volunteer satisfaction. Leads efforts to implement system changes as necessary to address new or respond to emerging needs while ensuring best practices.
  • Regularly tracks and analyzes data from various platforms and databases and presents key findings to senior leadership.
  • Manages volunteer engagement, as well as the organization’s Front Desk & Donation Intakes
  • Represent and/or manages RMHC of WNY representatives at various community events to improve knowledge, foster recruitment and stay on top of current trends in the field while increasing visibility for organization
  • Manages a Speakers Bureau program, assigning a roster of former families and volunteers to represent RMHC of WNY at volunteer fairs, corporate engagements and more.
  • Develops and implements an annual volunteer recognition plan.

Programs

  • Works with staff at each location to identify and meet volunteer needs
  • Efficiently and effectively responds to offers of engagement
  • Works with Director of Operations to establish and execute operational policies and practices for volunteerism and ensures compliance by staff and volunteers.
  • Ensures that standard operating procedures for volunteer engagement are understood and adhered to across the organization. Aids in executing training programs for staff supervisors of volunteers and new staff.

Development

  • Work with the Development Director to proactively identify and recruit new potential corporate partners for volunteerism and sponsorship.
  • Develop and implement increased stewardship of corporate engagement programming, such as matching grant program efforts

Education and Experience:                                                    

  • Bachelor’s degree in business administration, non- profit management, communication or a similar field.
  • Minimum five years’ experience in non-profit working with volunteers and programs.
  • Management or Supervisory experience preferred.
  • Demonstrated experience with non-profit board of directors, lead volunteers, donors, and senior staff.

Knowledge, Skills and Abilities:                         

  • Knowledge of current trends, resources and information related to volunteerism.
  • Ability to develop an organizational plan, execute on the plan and measure results.
  • Microsoft Office and Excel proficiency.
  • Ability to relate to people of diverse ages and backgrounds while working effectively with all employees and constituents of RMHC of WNY.
  • Compassion, kindness, and the ability to work with families facing a health crisis or loss of a child.

Physical Requirements/Working Conditions:                   

  • Must be able to sit at a desk and computer monitor for moderate periods of time. Speech and hearing sufficient for constant telephone and in-person communications.  Regularly required to lift, carry, walk, sit, and stand.  May lift up to 25lbs unaided. Some local travel required.
